Castlemaine Health discovered Snapforms while running a procurement process in search of a secure Australian-based online form provider. Their previous form processing system relied on snail mail, resulting in lengthy turnaround times, with many people put off by having to find a stamp and a physical postbox to send in their paperwork.
Data had to be transcribed from handwritten forms, which resulted in frequent data-entry errors when the information was unclear. The overhead of managing this process – as well as the risk of incorrectly capturing critical patient data – meant finding a digital solution was increasingly important in the traditionally offline world of hospitals and medical practices.
Snapforms as a Solution
After running their procurement process, Castlemaine Health decided to implement Snapforms as their solution across a number of forms, primarily their surgery pre-admission forms.
“Snapforms has a good background in providing forms to prestigious clients. Discussion from initial contact around our requirements was very favourable.
“Most important to us, they are Australian based with local support staff responsive to our needs and servers physically located in Australia and therefore subject to Australian privacy legislation. Security is very important to us and Snapforms has demonstrated that it is to them too.”
Replicating the long pre-admission forms from offline paper to an online digital form was initially a daunting proposition and thus another requirement was local support that could help get the process off the ground and be as successful as possible from the outset.
“Our form is much bigger and more complex than any examples available at the time we began implementing it. Snapforms technical support has been exemplary in providing us with the processing we needed in order for our project to be successful.”
Castlemaine Health has seen a number of benefits since adopting an online approach, but the most significant has been the saving of resource time and reduced transcription errors.
“Since rolling out our online form, we have a growing number of clients who use this service rather than our snail-mail service, which saves on transcription resources and we receive information in a more timely manner.”
