The Business Challenge

In 2022, Lee Fitzgerald, Senior Document Control Officer at Shark Bay Salt, was tasked with finding a solution to digitise their forms process. The company had long been relying on paper forms across multiple business units for a variety of purposes, leading to lengthy delays and inefficiencies.

“As forms sat on desks or were misplaced, business processes were delayed,” explains Lee. “We had forms everywhere, and some never even made it to the right person.”

The Search for an Online Forms Provider

Shark Bay Salt uses Microsoft SharePoint for their information storage, and while Lee was aware of Microsoft Forms, she quickly realised it didn’t meet their needs.

“The issue with MS Forms is it is tied to personal accounts and has limitations that didn’t work for our business,” says Lee.

When a departing IT leader mentioned Snapforms, Lee took a closer look. It didn’t take long to realise that Snapforms offered exactly what Shark Bay Salt was looking for.

“I started small then gradually progressed to more complex forms. I also built processes into the forms, using an Excel-based project management tool to outline everything needed,” says Lee. 

Snapforms is really responsive, and its integration with SharePoint made everything much easier.

One department that quickly saw the value of Snapforms was Finance, which began digitising key processes to improve efficiency. The implementation of the Capital Expenditure Application Form was a turning point. 

Previously, capital expenditure requests required multiple paper-based approvals, causing delays and difficulty tracking budgets. With Snapforms, the process became digital, ensuring requests were automatically routed to the appropriate approvers and financial data was logged in real time.

“The CEA Form has been a major win for us,” says Lee. “Now, approvals happen much faster, and we have complete visibility over our capital expenditure pipeline.”

After experiencing the efficiency gains firsthand, the Finance team has been proactive in expanding their use of Snapforms, continuously finding new opportunities to digitise and improve processes.

“Once people realised how simple it was to create and use forms, the procrastination that had previously plagued our processes disappeared,” says Lee. 

Now, forms are being completed quickly and for a range of purposes – everything from surveys and registrations to approvals.

As the forms grew in complexity, Lee added sub-users to help manage data and reporting.

“While there have been some challenges along the way, the support from Snapforms has been exceptional, especially the live chat feature, which is very responsive,” she adds.

Now with over 70+ forms being used across various business units, Lee says the impact on business processes has been transformative.
